Document 7: AI and Automated Processing Terms
Plain-language summary: How the AI features work and how donor information is protected when they run. The key points: the AI gives suggestions a person confirms; interactive AI runs in your region (in Canada, for current customers); identifiers are removed before prompts on a reasonable-efforts basis; the model service does not train on or keep your data; and the only AI that leaves your region is the research feature you explicitly turn on.
1. What the AI does
The Platform includes AI-assisted features: donor-capture assistance, coaching suggestions, thank-you drafting (drafts only; a person sends them from the organization's own systems), the Ask Relae assistant, and the opt-in donor-research feature. AI outputs are suggestions only and may be inaccurate or incomplete. The Customer is responsible for reviewing outputs and applying human judgment.
2. Where the AI runs
Interactive AI features (capture, coaching, thank-you drafting, and Ask Relae) run in the Customer's Region; for the Canadian Region, on Amazon Nova through AWS Bedrock in Canada. The two flows that use United States services are the opt-in donor-research feature and the entitlement-gated funder research, described precisely in the Privacy Policy and the DPA. No other AI processing leaves the Customer's Region.
3. Identifier removal before model calls
Before content is sent to a model, Relae applies automated redaction that replaces known identifiers with placeholders and reattaches them locally afterward: the names of people on the organization's roster, email addresses, phone numbers, and postal addresses (Canadian postal formats, in English and French forms). The redaction covers identifiers the Platform knows about. Names of people who are not in the organization's records are not detected by the current redaction and can reach the model; for current customers, any such text goes only to the in-Canada model service described above. For that reason the data is treated as remaining Donor Data governed by the DPA, and Relae does not describe model inputs as anonymized. In-product trust copy is kept consistent with this description.
4. No training, no retention
Relae requires that its model services do not train on and do not retain Customer content submitted through the Services, and represents only what those service terms support.
5. Human in the loop, and the two named exceptions
No decision that produces legal or similarly significant effects about a Donor is made solely by automated means. Two automated behaviours are named so nothing is hidden. First, the duplicate-record merge: off by default, per-organization, reversible, and limited to merging records of the same person. Second, per-donor AI access for Ask Relae: for a real customer organization the assistant works with aggregate figures only, until the organization explicitly opts in to letting it work with live individual donor records. Where Quebec Law 25 applies, a donor has the right, through the charity as Controller, to be informed of and to contest a decision based exclusively on automated processing; Relae will assist the Customer in responding to any such request.
6. The research features
Donor research is off until an organization turns it on, and its opt-in surface enumerates exactly what is sent (name, entity type, city, education, known employer, board, or company affiliations, and web-search queries) and what is never sent (giving history, amounts, ratings, prospect types, tags, notes). Funder research is available only under a specific entitlement, off by default, and sends organization names and topics only. Both use United States services and are the only AI flows that leave the Customer's Region. Enabling donor research is the organization's instruction as Controller, and the organization is responsible for having a lawful basis for researching its prospects.
7. Accuracy and no professional advice
AI outputs are not professional (tax, legal, or financial) advice. Ratings, estimates, and suggestions are aids, not guarantees, and must not be the sole basis for significant decisions about a Donor. AI outputs carry no warranty of accuracy or completeness, and the Customer's sole remedy for an AI output it is dissatisfied with is to discard the output and, where useful, regenerate it.
