Build a guest list and track invitations

Create an event, prepare invitation waves, and keep RSVPs and attendance on each guest record.

Open Events to create a reception, meeting or other event, or open a show already imported from your ticketing system. Events must be enabled for your workspace. Officers, managers and administrators can manage guests; viewers can read the lists.

Create the event and its guest lists

  1. 1Choose Create event. Enter its name, local date and time, timezone and optional venue.
  2. 2Open Guests and invitations and create a named list, such as Board or Opening-night guests.
  3. 3Choose Add guest, search your constituent records, and select the people to add. Each person stays a separate guest; selecting a household member does not invite everyone in their household.
  4. 4Edit a guest to record their ticket count, seat labels and status: on invite list, invited, confirmed, attended, cancelled or no show.

Prepare each invitation wave

Choose Prepare invitation wave, name it, choose email or mail, and select the guest lists. Relae saves a recipient snapshot and excludes guests who cannot be contacted through that channel. Preparing a wave does not send anything or mark it as sent.

Review the included and excluded recipients, then export the CSV for your email or mailing service. After you send it, use Record sent to enter the actual send date. Relae records your confirmation; it does not track delivery or open rates for these manual invitation waves.

Prepare another wave for a reminder or follow-up. Earlier waves retain their own recipient details and sent dates. If contact permissions or recipient details change after preparation, prepare a fresh wave before exporting or recording the send.

Keep the response current

Update confirmed, attended, cancelled and no-show statuses as responses arrive. The guest list keeps a change history. A constituent's Events tab shows their invitations and guest status alongside any imported ticket history.

Guest ticket counts and seats are planning records. They do not create payments, gifts, refunds or box-office tickets. Imported orders keep their own financial totals in Seats and orders.
